group order checklist
| # | Decision | Done |
|---|---|---|
| 1 | Decide the date shirts must be IN HANDS Not the event date. Two days earlier, so a missing size is an inconvenience instead of a crisis. | |
| 2 | Count the people, roughly A rough number is enough to price. Quantity moves the per-shirt price more than anything else. | |
| 3 | Decide how many ink colors Every color is another screen and another pass. Dropping one usually saves more than dropping shirts. | |
| 4 | Decide front only, or front and back Each print location is a separate setup and a separate pass. | |
| 5 | Pick the garment Tee, heavier tee, performance, hoodie. The blank is the floor under the whole price. | |
| 6 | Decide who pays One invoice from the group, or every family pays for their own in a pre-order. Pick before collecting anything. | |
| 7 | Gather the artwork, or ask for it to be drawn A file, a sketch, a photo of an old shirt, or just the idea. All four are workable. | |
| 8 | Set a HARD size cutoff date and say it out loud Sizes take longer to collect than shirts take to print. This is the deadline that actually slips. | |
| 9 | Collect sizes and money on the SAME sheet Collected separately is where reconciliation goes wrong and somebody ends up without a shirt. | |
| 10 | Approve the mockup carefully Screens are physical. Once burned, a change means making them again. This is the cheap moment to change your mind. | |
| 11 | Confirm pickup or delivery Settle it now, not on the day. One trip for the whole order beats three trips for pieces of it. | |
| 12 | Count the box before you hand anything out Two minutes here saves an afternoon of phone calls. |
Print this and take it to the meeting. Nothing on it is specific to one shop; it is the order these decisions come up in, which is the part that is easy to get wrong the first time.
The size collection sheet goes with step 9. The date planner gives you the cutoff for step 8.
